Offer an Alternative Product Without Replacing the Buyer’s Request

An alternative can save time when the requested configuration is unavailable or costly, but it should never masquerade as a direct match. Quote the requested item if you can, then put the alternative in its own clearly labelled section. If you cannot quote the original, say why and describe what information would change that answer.

Make comparison easy

Give the alternative its own model, datasheet, drawing revision, price, quantity, sample status and lead time. List the meaningful differences: dimension, material, finish, rating, included accessories or packaging. Include the reason for proposing it, such as existing tooling or a shorter verified material path, but do not promise a benefit you have not checked.

Ask the buyer to approve the alternative explicitly before treating it as the order basis. A purchase order that still names the original model is not clear approval, even if the email discussion was enthusiastic. Resolve the mismatch in the controlled order documents.

The internal test is to compare the original RFQ, your two offers and the later sample label. Every one should identify which configuration is being discussed. If the sample is an alternative, mark it as such on both the physical label and the approval record.

Worked example (illustrative)

A requested motor enclosure needs new tooling, but an existing housing is close in size. The supplier keeps the custom request as one line and offers the standard housing on another, with both drawings and sample status. If the buyer chooses the standard version, the purchase order must name that version before production starts.
