Measure a Sample Against the Drawing the Buyer Approved

A sample measurement report should let a reviewer find the feature, the agreed limit and the observed result. Begin with the drawing number and revision, sample identifier, measurement date and instrument or method where relevant. If a tolerance is absent or disputed, flag the feature as unresolved instead of inventing a pass result.

Report the actual observation

For each critical characteristic, show nominal value or requirement, upper and lower limit if specified, measured value and disposition. Photographs can help identify locations, but they do not replace a dimensioned record. If a feature cannot be measured with available equipment, state that limitation and agree on a method before claiming conformity.

Keep the inspected unit linked to the shipped sample. A report for a different prototype or a production part from another revision is not evidence for this specimen. When samples are destructive-tested, record which specimen went to each test.

Ask a second person to trace one result from report to drawing and labeled unit. If they cannot reproduce the relationship, the report may look formal without being useful. The purpose is a reviewable decision, not a dense table that conceals open questions.

Worked example (illustrative)

A sample inspection sheet names part P-3 revision F and lists a critical slot width with the drawing's accepted range and the measured result. The shipped unit bears the same sample number. If the report instead measured prototype P-2, the mismatch would be caught before the buyer receives it.
