State a Sample Lead Time With a Clear Start Point
A sample may be quick to fabricate but slow to define. Ask whether the drawing, material, artwork and test plan are complete. Put those approvals ahead of the manufacturing clock. If a buyer asks for a date before the inputs are ready, provide a conditional estimate and the next date for confirmation.
Show the sequence
Identify material sourcing, prototype or tool setup, fabrication, internal measurement, packaging and dispatch. If the sample needs a specialist or external test, add that handoff. State whether the date refers to a sample ready at the factory, handed to a carrier or received by the buyer.
Record who owns each open item. “Awaiting artwork” is less useful than “buyer to approve artwork revision 2 before fabrication.” When an input changes, update the schedule and explain which stage is affected. Do not keep repeating the original estimate after the sample definition has changed.
Before dispatch, compare the sample record with the promised scope. A sample sent early but missing the critical test or correct revision has not met the buyer's decision need. Reliability is measured by the useful decision it enables, not only by the parcel date.
Worked example (illustrative)
A printed enclosure sample depends on buyer artwork and a chosen plastic grade. The supplier states that fabrication timing begins after both are approved and gives a date for its next update. The parcel dispatch estimate is separate from carrier arrival. A late artwork revision results in a revised sample schedule, not an unchanged promise.
